Today
How the gym is doing right now.
Expiring this week
Catch them before the membership lapses, not after.
Going quiet
Paid up, but they've stopped showing up. This is who you lose next.
Members
Everyone on the books, their plan and their attendance.
Your door QR
Members scan this on the way in. Print it and stick it by the entrance.
Anyone who scans it lands on your check-in page. It's safe to share, put it in your Instagram bio, or send it to a member who's at the door and can't find the poster.
How it works
Everything you'll need to do, in the order you'll need it.
Getting started
- Go to Settings and check your plans and prices are right. Add any that are missing.
- Go to Members and add your members. If someone is paying you right there, tick They've paid and it goes into your takings. If you're just entering members who are already partway through their month, leave it unticked and set the date their membership runs to.
- Print the poster from Door QR and stick it by the entrance.
- That's it. Tell your members to scan it on the way in.
Checking members in
You don't. They do it themselves.
A member scans the poster with their own phone camera. The first time, they type the phone number you saved them under. After that their phone remembers them, so every visit is one scan and they see their streak straight away.
A member with no smartphone, or one who's forgotten their number: check them in at the desk by opening the check-in link on your own phone and typing their number.
Someone paid me. What now?
Find them under Members, tap Payment, pick the plan and how they paid, then record it. Their membership date moves forward on its own.
If they pay early, the new time is added onto what they've already got. They don't lose the days they already paid for.
This is what fills in your takings. Adding a member, or changing the date their membership runs to, does not put any money in the books. Only a recorded payment does. If This month says Ksh 0 but people have paid you, it's because the payments weren't recorded.
Chasing renewals
Expiring this week shows who's about to lapse. Tap Remind next to someone to open WhatsApp with the message already written, then hit send.
Remind everyone walks you through the whole list, one member at a time.
It sends one at a time on purpose. WhatsApp bans numbers that fire off lots of messages quickly, so going steady is what keeps your number safe. Never use a bulk-blast app.
Who's about to quit?
Going quiet is the important one. These members are paid up but have stopped showing up, and they're the ones you lose at renewal without warning.
Tap Win back to send them a message before they're gone. Catching someone at 12 days quiet is easy. Catching them on renewal day is too late.
Adding a branch or a plan
Both live in Settings. Tap + Add a plan or + Add a branch, fill it in, then Save settings.
You can also add a branch while you're in the middle of adding a member, with the + New branch button.
Changing your password
Tap Password at the top of the screen. You'll need your current one.
